The Role We are now looking for the Fleet Administrator Italy, ECC, that is part of an EMEA team located in Rome or Chester that primarily supports Fleet-related activities for Europe, Middle East, and Africa (EMEA). The Fleet Admin conducts the day-to-day Fleet Operations management for Italy and ECC. Additionally, this role will collaborate daily with the EMEA Fleet Operations Manager supporting all billing, reporting, application testing, auditing, and project management activities of the department. This role helps identify potential opportunities for cost reduction, process improvement, vendor management, and service to field employees. This role may periodically support fleet activities for the Global Fleet Director, as well as supporting other members of the Global Procurement team as needed. Key Duties And Responsibilities Operational Support for Italy / ECC First contact with internal services (/HR/Finance/ General Management Procurement/Legal/EHS/Public Affairs....) for all questions regarding car Fleet Manages external suppliers/partners activity to ensure that BMS employees and vehicles receive adequate support daily Act as an escalation point for the Fleet Management Company and/or Lessor selected for day to day operational Fleet questions Manages the fleet inbox - day to day management of BMS Executives and Sales employee vehicles Evaluates and makes decisions on maintenance and accident repairs that are outside standard parameters, which requires independent judgment be exercised Facilitates the annual issuance of insurance cards and accident safety kits Controls and contacts drivers regarding policy violations Reviews and manage with Internal People Service Team and HR reports for new hires, terminations, and transfers Works closely with EHS on Safety Driving training program and the medical exception requests Support Talent Acquisition, and Regional Sales Coordinators on initiatives that support BMS goals and objectives Program Management Builds vehicle selector to meet employee utility needs, safety/environment goals, and budget requirements Fleet Management Handles the monthly bill paying process for all Fleet vendors. This includes researching and correcting any billing issues by working with outside 3rd parties, Finance, and third-party vendors to ensure timely and accurate invoice processing Identify opportunities for policy and process improvements based on feedback from the markets, analytics and trends. Tests and reviews any Fleet-related system enhancements and system required modifications by our IT partners Leads the integration of any new Fleet vendors Reports and Analytics Creates and runs various weekly and monthly management reports and ad-hoc queries for the Fleet Management Team Prepares annual Fleet budget projections Performs monthly, quarterly and annual audits of various Fleet Providers Reconciles audit exceptions for follow-ups General Management Support Assists in the management and implementation of key projects related to new technology and process improvement Assists in development and maintenance of departmental scorecards and KPIs Produces Fleet reporting and supporting documentation to Procurement, Sales Administration, HR, General Accounting, Finance, and upper management as needed, while exercising discretion and judgment Manages audits of various Fleet Providers; including but not limited to vehicle maintenance, miscellaneous services, rental costs, interest and depreciation rates Qualifications, Knowledge and Skills Required Minimum of 2 years of professional experience Fluent in Italian & English Experience with working in a enabling services role Experience working cross-functionally and interfacing across multiple levels of an organization Well-developed written and verbal communication skills Experience working with domestic and international partners Excellent experience and working knowledge of Microsoft Office, SAP to conduct: Detailed use of pivot tables and vertical lookups with Excel Detailed queries within Access across all 20 Fleet tables and customize as needed Invoice management, research, and invoice billing corrections in SAP Accounting skills to evaluate financial implications of Fleet leasing and insurance Preferred Qualifications: 3 years of professional experience 2 years working with Fleet operations 2 years conducting operations or inventory analysis 2 years of program management experience Contract & Supplier Management experience Experience working in a global context L'appartenenza alle categorie protette, lg. 68/99 costituirà titolo preferenziale.
