Job Purpose

• To provide discreet and confidential secretarial support to the Group OH team and coordinate service provision

Responsibilities

• Provide administration to schedule appointments for all members of the team to meet business requirements and targets 
• Through effective communication with members of the OH team, business unit managers, HR & safety personnel, plan and coordinate OH activity for the various business units within specified timescales
• Plan details of the scheduled appointments on the OH system and forward plan 
• Ensure that adequate facilities are made available on the business unit site for the OH activity to be undertaken effectively and booking of overnight accommodation for OH team members if required
• Receive & respond to e-mails which come into the Occupational Health inbox, take telephone messages and when necessary relay to the appropriate member of the OH team
• Using the OH system prepare and present statistical data in relation to OH activity to the Group Safety director and Heads of QSHE for the various business units
• Organise the OH & team meetings at the request of Group OH Manager and collate the agenda items, produce minutes for approval and distribution
• Release authorised documents in relation to litigation claims ensuring appropriate level of consent
• Support OH team with the publishing processes on the Group Website and Intranet
• General administrative duties; supporting the team with uploading of relevant documentation to the OH system such as attendance management referrals, initial health assessment questionnaires and medical reports from external providers
• Maintain par stock of stationery requirements and medical consumables, carrying out stock takes and ordering as required

• Essential
• Microsoft Word (intermediate/advanced level)
• Microsoft Excel (intermediate level)
• Outlook email experience including use of calendar and tasks
• Good communicator

• Ability to work at senior level and support a team
