JOB TITLE: CHILDREN CENTRE RECEPTIONIST LOCATION: THIS ROLE IS BASED ACROSS 2 SITES SITE ONE: GREENFORD SITE TWO: SOUTHALL DURATION: 3 MONTHS HOURS: 25 HOURS PER WEEK PAY RATE: 12.26 PER HOUR PURPOSE OF ROLE: 1. To provide an efficient and effective reception and administrative service to aid the general running of a Children's Centre and ensuring service providers, users and potential users are supported. 2. To provide a welcoming reception service to centre users, staff and visitors and deal with enquires directly or over the telephone, internet etc. in a helpful and customer focussed way. 3. To provide general administrative support for the work of the Children's Centre as directed, including timetabling and data entry. KEY ACCOUNTABILITIES; 1. To provide a friendly, welcoming and professional reception service for the centre, deal with enquiries from members of the public, staff and external January 2013 Core HR & OD Department agencies in a professional and customer focussed manner. 2. To ensure correct procedures are followed regarding entry to the building in order to maintain the security and integrity of the services provided, including key holding, briefing users on alarm systems, building opening and closure procedures etc. 3. Ensure users of the centre are formally registered, attendance records are kept up to date and inputting this monitoring information into the Council's/Departmental databases. 4. To accurately input and retrieve database information. 5. To produce documents, reports and letters and keep records, using a variety of IT based systems such as spreadsheets, databases, word processing and mail merge. 6. To oversee, maintain and display a timetable of users, to administer and be the first point of contact for bookings by service providers, outside groups or the public, arranging general usage and access to the centre and its smooth operation generally. 5. To implement relevant Council procedures and guidelines, identify, address and/or report issues as they emerge, maintain records, monitor and produce returns as required. 6. To ensure the building health and safety requirements are adhered to including liaising with maintenance staff and contractors and taking responsibility for room layout and equipment, accept and sort deliveries, ensure proper procedures are implemented such as signing in and recording fire drills. 7. To take responsibility for reception and other public areas and ensure they are clean and tidy at all times and that all displayed materials are up to date and presented in the best manner possible. 8. To contribute to the operation and development of effective office systems and procedures for the service such as filing, opening and sorting post, diary maintenance for the premises and staff, attendance and sickness records, keeping stocks and ordering stationery and supplies as necessary. 9. To provide administrative support for those delivering services through the centre or its partners including outreach workers and other specialist staff.
