About you: You will have proven practical experience of providing Executive Assistant support to Executive Director/C-suite level, with experience of working within a team environment ensuring joined up services. This role will suit someone who has demonstrable experience of successfully building positive and effective working relationships with colleagues, who will be comfortable working with key stakeholders on a regular basis, including: Jisc's chief executive, heads of/ senior managers and colleagues across Jisc as well as EA's and Facilities colleagues. You will have a positive and flexible attitude, with the ability to successfully collaborate with colleagues to achieve results; your co-operative style will mean you have the ability to work effectively with people at all levels. We're ideally looking for someone with: • Significant experience in a similar role previously, supporting c-suite level • Knowledge of principles underpinning executive assistant support at leadership level • Knowledge of project management tools • Ability to support and advise others using technical and professional expertise, as well as experience in working as part of a team • Good verbal and written communication skills including the ability to influence others and tailor communications according to the audience • Strong analytical skills with the ability to evaluate and interpret data to form preliminary judgements and make appropriate recommendations • Ability to understand new issues and take the initiative to develop and broaden knowledge and understanding in new areas • Ability to work to a high degree of accuracy, attention to detail, with high professional standards About the role: The Executive Assistant will provide high level support to the Executive leadership team (ELT) including full personal assistant support to a number of Executive Directors. The successful EA will provide professional, accurate, confidential and efficient support and assistance to the ELT at all times. You will sit in the ELT support office and the senior executive assistant will hold the formal reporting line. Responsibilities will include: • Coordinate, deliver and provide executive assistant support to Executive directors and chief executive in line with agreed service requirements • Develop knowledge and understanding of the Executive directors' priorities, activities and approach to working in order to always provide proactive and appropriate support, act as 'gatekeeper' for their time • Provide diary management taking an overview and provide input to ensure that meetings and appointments are scheduled and managed appropriately, in accordance with the Executive director's needs (i.e., provide online dial in or book meeting room) • Facilitate complex meetings for internal and external visitors while overseeing arrangements • Arrange UK and overseas travel, transport and accommodation online, via the contracted travel provider • Arrange programmes and oversee arrangements, liaising with other parts of Jisc as required • Carry out specific project work as agreed with the Executive director, taking an active role in internal projects and initiatives, applying knowledge and experience to ensure effective and high-quality delivery • Research information, collate and analyse data, interpret findings, provide insights and drafting briefings Flexibility will be required to travel to meetings, including sometimes working outside of office hours and staying away overnight.
