Role summary Reporting to the HR Director, the role of the Head of Human Resources Operations will be responsible for managing an effective and efficient HR Services team encompassing HR systems, payroll and administration. This role is key in ensuring the HR function provides a professional, high quality people solutions-focused approach to HR services and enables improved business performance. This is a hands-on role, which involves project management of the roll out of several of our annual people processes (e.g. PDR, employee opinion survey, salary review), the management of the HR system, management of general HR administration and the coordination of the effective customer service journey through any T & C or similar change (i.e. from letters, to changes to payroll and the HR systems). The role holder would also contribute to the project management of individual operational elements and projects within the HR strategy. The role will require analysis and interpretation of HR information and creation of HR metrics and reporting, and will be key to building credible relationships with managers across the business and demonstrating the impact that the team can have through efficient customer service. It will work alongside the HR Director to build a team which offers a professional, insightful and effective HR service and a positive and supportive team culture. This role sits in Band 3. Key responsibilities Team management Leads a team responsible for the administrative aspects of the HR team – i.e. all letters, systems changes, HR ops reports, headcount reports, and the payroll function Line management of the HR services team to develop their HR skill and experience Manage the workflow within the department ensuring effective delivery of HR priorities Ensure the work the team produces is to a high standard and accurate Keep the team motivated, ensuring team differences are resolved and that they work cohesively and collaboratively Support the team with identifying and meeting their development needs Proactively identify areas of improvement of HR processes and practices being applied across the organisation ensuring standards of best practice are maintained and effectively measured Ensures the collaboration between the HR advisors, the recruitment team and the HR services team. Project management Lead annual Great teams projects – e.g. PDR, Annual salary review process, EOS, salary benchmarking Owns the relationship between the HR services team and HR, ensuring a high level of customer service and support is delivered. Management Information and people data analysis Ensures the development and delivery of proactive HR reports and analysis to the HR team and business, utilising all systems and data collected within the HR team. Ensures the preparation of regular and ad hoc reports which provide accurate and consistent insight into people metrics. Reviewing regular report content to ensure it continues to meet business requirements. To monitor/audit data entry and tracking within the team. Making process improvements where necessary to drive accurate reporting. To maintain the HR team KPIs to drive a performance culture and suggest improvements to the effectiveness and efficiency of HR service delivery. To support and lead the HR team to become more data driven through promoting the use of MI to inform and evaluate the work undertaken. Develop, coordinate, analyse and feedback results on annual organisational wide HR activities (e.g. employee opinion survey, PDR and salary review) Complete monthly- quarterly metrics reporting including gender and ethnicity pay gap reporting and exit interview data System Management Collaborating with our IT team to ensure the development and management of our new HR System to deliver a system which meets the business requirements and enables the HR team to provide an efficient and professional service. Drives continued system improvements to deliver a simple and reliable user experience, working closely with the HR team and wider business to understand their requirements. Knowledge and Experience Proficient organisation, project management and time management skills; ability to multi-task managing multiple projects/demands at times Knowledge of current UK employment legislation Experience of using HR software/ information systems Strong personal credibility and ability to influence in order to establish effective relationships within the organisation Awareness of the sensitivity and confidentiality of the HR function and people data Cool, calm and collected with an ability to handle challenging conversations Experience creating HR MI with the ability to analyse, identify trends and recommendations from data Experience of creating pay gap data and analysis Knowledge and understanding of good practice and innovative approaches Ability to work in a team and independently to a high standard without constant supervision and ensure deadlines are met under pressure At the CBI we recognise the advantages that flexible working patterns can bring.
